- Revenue Cloud Billing (RCB) is the native billing layer of Salesforce Revenue Cloud (Agentforce Revenue Management): it turns orders and usage into invoices and credit notes, directly in Salesforce.
- It handles billing frequencies (monthly, quarterly, annual…), VAT, legal entities, GL accounts, payments and collections.
- RCB relies on RCA orders and assets: billing quality depends on the quality of the quote → order → asset cycle.
- RCB does not replace your accounting system: the ERP (Sage, for example) usually remains the accounting system of record, fed by the entries generated in Salesforce.
- Meir IT's RCB quickstart (€10,000 excl. VAT) covers activation, invoices and credit notes, VAT, legal entities, general and subsidiary ledger accounts, payments and collections.
In many companies, billing is where everything breaks down: a sales rep signs a quote in Salesforce, someone re-keys the order into the ERP, the negotiated billing frequency gets lost, last month's amendment is not taken into account. Revenue Cloud Billing aims to close that gap by generating the invoice directly from what was sold.
What is Salesforce Revenue Cloud Billing (RCB)?
RCB (Revenue Cloud Billing) is the billing module of Revenue Cloud, Salesforce's quote-to-cash suite now sold as Agentforce Revenue Management (ARM). It takes activated orders and consumption as input, calculates billing schedules, generates invoices and credit notes, applies tax rules and produces the related accounting information. On the native platform, it succeeds the Salesforce Billing managed package.
RCB works with RCA (Revenue Cloud Advanced), which manages the catalogue, pricing, quotes, orders and assets. For the big picture, read our complete Revenue Cloud guide.
How does billing work in Revenue Cloud?
The principle is simple: you bill what was actually ordered, not something re-keyed.
- The quote is accepted and converted into an order in RCA.
- When the order is activated, each line carries its billing information: selling model (one-time, recurring, usage), frequency, start and end dates, payment terms.
- RCB derives billing schedules from them.
- Billing runs, scheduled or launched on demand, generate invoices for the schedule lines that are due.
- The invoice is posted, sent and then matched against payments; unpaid invoices enter the collections process.
An amendment (adding licences mid-contract, changing the service level) or a cancellation produces a new order, which adjusts the billing schedules: prorated billing, a credit note or an additional charge, depending on the rules defined.
Invoices and credit notes
RCB generates invoices from schedule lines, and credit notes (credit memos in Salesforce terminology) for cancellations, early terminations, commercial goodwill gestures or corrections. An important point for finance teams: a posted invoice is not edited, it is corrected with a credit note. This behaviour, consistent with French and Swiss accounting practice, needs to be explained to sales teams used to "fixing the quote".
The invoice layout (logo, legal notices, bank details, VAT number, payment terms) is configured per legal entity. Mandatory invoice mentions should still be validated with your accountant, particularly for companies invoicing from France, where electronic invoicing is being made mandatory.
VAT and tax
RCB applies tax rules to each line based on the product, the issuing legal entity and the customer. The common cases we configure:
- French VAT at the standard rate and at reduced rates depending on the product;
- reverse charge for business customers in the European Union;
- exemption for customers outside the EU;
- Swiss VAT for an entity established in Switzerland.
For more complex tax requirements (many countries, local taxes), Revenue Cloud can connect to an external tax engine. We recommend starting from a simple matrix, approved by finance, rather than modelling every exception up front.
Legal entities and GL accounts
A company that invoices from several entities (France, Switzerland, a subsidiary) declares each legal entity in RCB, with its own details, numbering and tax rules. Each invoice line is linked to the entity that issues it.
General ledger accounts (revenue, VAT and receivables accounts) and subsidiary ledger accounts are mapped to products and taxes. As a result, every invoice and credit note produces posting information that accounting can use without manual reprocessing.
Billing frequencies and selling models
| Model | Example | Behaviour in RCB |
|---|---|---|
| One-time sale | Set-up fees, hardware | Billed once, on the defined date (activation, delivery…) |
| Recurring subscription | SaaS licence, maintenance | Monthly, quarterly, half-yearly or annual schedule, billed in advance or in arrears |
| Usage | Volumes processed, API calls, active users | Consumption rated, then billed each period |
| Person-days / services | Consulting support, training | Billed on order, on a schedule or on progress, depending on the rules chosen |
A single customer can combine several models in one order. At Coptis, a Meir IT client, quotes combine SaaS subscriptions and set-up fees, with amendments and contractual rules, and billing follows the frequency chosen by each customer. At Memoritz, billing flows from actual orders, after post-sale fulfilment orchestrated by RCA's DRO.
Usage-based billing
For consumption-based offers, Revenue Cloud can receive usage data (from your product, a technical platform or a file), link it to the customer's asset, draw down included entitlements and rate overages. RCB then adds these amounts to the invoice for the period. The key to a usage-based project lies upstream: defining precisely the unit of measure, the source of truth and the point at which consumption is considered final.
Payments and collections
RCB tracks the payment status of invoices and each customer's balance. We configure payment terms (on receipt, 30 days, direct debit…), the recording of payments received and a progressive collections (dunning) model for unpaid invoices. Sales and support teams can then see the customer's financial position directly in Salesforce, before a renewal or a new sale.
How does RCB integrate with your ERP (Sage, etc.)?
RCB is not a general ledger accounting system. The most common setup:
- Salesforce (RCA + RCB) handles the quote, order, contract, invoice, credit note and customer follow-up;
- the ERP receives the entries (invoices, credit notes, payments) and remains the reference for accounting, tax filings and period close.
Another option is to keep billing in the ERP and use RCA only. That is the choice Transvalor made: quotes are managed in Revenue Cloud with their specific features, while keeping the existing link with Sage. The right choice depends on invoice volume, subscription complexity and the maturity of your ERP.
RCB or billing in the ERP: how to choose?
- Choose RCB if you sell subscriptions with frequent amendments, several billing frequencies or usage, or if re-keying between Salesforce and the ERP causes errors.
- Keep the ERP if your invoices are few and simple, or if the ERP already handles billing-related logistics flows properly.
- Either way, RCA is still useful to make what is sold and passed on reliable.
If you are coming from Salesforce Billing (the managed package), the move to RCB is part of a wider migration, covered in our article Migrating from Salesforce CPQ to Revenue Cloud Advanced.
Frequently asked questions
What is RCB in Salesforce?
RCB (Revenue Cloud Billing) is the billing module of Revenue Cloud. It generates invoices and credit notes from the orders and usage managed in RCA, applies VAT, and handles legal entities, GL accounts, payments and collections.
Does RCB replace my ERP or accounting software?
No. RCB handles customer billing in Salesforce, but the ERP (Sage, for example) usually remains the accounting reference. Invoices, credit notes and payments are passed to it as accounting entries.
Can you bill different customers at different frequencies?
Yes. The billing frequency (monthly, quarterly, annual…) is held on the order line, so each customer's choice can be respected. This is what Meir IT implemented for Coptis.
Does RCB support multiple companies and Swiss VAT?
RCB lets you declare several legal entities, each with its own details, numbering and tax rules. A Swiss entity can therefore apply Swiss VAT and a French entity French VAT.
Can you use RCB without RCA?
No. RCB relies on the orders and assets managed in Revenue Cloud Advanced. You can, however, use RCA without RCB and leave billing to the ERP.
